Senior Event Manager

The Senior Event Manager is responsible for end-to-end planning and operational delivery of all logistics and production elements across Datos Insights’ event portfolio as well as internal meetings and events.

 

Responsibilities:

  • Independently plan, organize, and execute internal and external event logistics from initial stages of development, through on-site and post-event reporting.
  • Independently own all aspects of smaller events (e.g. one day, half day) and sub-events taking place within larger conferences, such as sponsored dinners, Council meetings, internal team meetings, etc.
  • Manage event budget and forecast event expenses including post-event reconciliation
  • Negotiate event contracts including review and audit of event clauses to achieve favorable terms for the organization
  • Own the relationship with venue sourcing partner, and conduct research on non-hotel venues creating and submitting RFP’s
  • Manage staff and attendee room blocks including liaising with hotel housing coordinator to ensure accuracy of pick-up reports and rooming lists.
  • Attend conferences and assist Events team with registration, production, and client needs.
  • Assist with administrative tasks such as creating organizational documents, managing the Events team inbox, updating project management systems and reconciling financials.
  • Build and maintain positive relationships with key conference partners and team members (internal and external) to ensure successful conference execution.
  • Develop ability to use internal tools independently such as Swoogo, Excel, and Monday.com
  • Assist in administering attendee and sponsor satisfaction surveys, compiling feedback reports, documenting lessons learned, and surfacing suggestions that improve event experiences.
  • Provide exceptional customer service to clients and internal partners.

 

Qualifications:

  • Bachelor’s Degree and 7-10+ years of event management experience
  • CMP designation preferred
  • 5+ years of managing event budget and forecasting event expenses
  • 5+ years of negotiating event contracts
  • Proven experience owning end to end execution across complex event portfolios, including sponsored events
  • Strong strategic thinking skills with ability to independently problem-solve and translate goals into executable plans
  • Exceptional time management, attention to detail and organization skills
  • Excellent communication, interpersonal and relationship-building skills
  • Ability to develop and manage events to timelines, troubleshooting and escalating appropriately for support as needed
  • Ability to work in a dynamic, collaborative environment while adapting to changing priorities
  • Ability to manage high pressure situations effectively and calmly
  • Strong knowledge of Microsoft Office, including Excel, Outlook and PowerPoint
  • Previous experience working with event management and project management platforms desired but not required
  • Ability to travel approximately 10-15%
